Privacy policy

A requirements specification describes what a piece of software has to do – from the point of view of the people who will use it. Providers estimate their effort and write their offers on the basis of it, and at the end it is the yardstick for the acceptance.

The template takes you through the usual sections: initial situation, goals, functional and non-functional requirements with priority and acceptance criterion, constraints, interfaces, acceptance and a glossary. Every section has a short note and every table an example row. The Word file is for filling in and passing on, the Excel file has each section on a sheet of its own – handy for sorting and filtering the requirements – and the PDF is for printing, for example for a workshop with the business department.

Already have a description or a specification? The project check turns it into a project brief with questions.

Frequently asked questions

What is the difference between a requirements and a functional specification?

The client writes the requirements specification: it describes what the software has to do and why. The contractor answers with the functional specification: it describes how the requirements will be met and tested. A functional specification template is available here too.

How detailed does a requirements specification need to be?

Detailed enough for a provider to understand the scope and estimate the effort. Clear requirements with a priority and an acceptance criterion matter more than the number of pages.

Who writes the requirements specification?

The client, usually the business department together with IT. Outside help is possible, but the goals and requirements should come from the people who will work with the software.

Is a requirements specification legally binding?

That depends on whether and how it becomes part of the contract. The template is not legal advice; please clarify contractual questions with your legal adviser.

Which formats does the template come in?

A Word file for filling in, an Excel file with each section on a sheet of its own and a PDF for printing and filling in by hand. You get the link to the files by email once you have confirmed your address.
